Copy/paste TPRA templates for Crossville

Tennessee’s Public Records Act lets residents request government records. Send to City Hall / City Clerk routing (info@crossvilletn.gov) and CC the City Manager. Be specific — vague asks get vague replies.

Template A — Contract, renewals, and costs
Pursuant to the Tennessee Public Records Act, I request copies of: 1) The current contract(s), quote(s), renewal(s), addenda, and invoices between the City of Crossville / Crossville Police Department and Flock Safety (or any ALPR vendor), including all camera counts and annual costs; 2) Any prior Flock / ALPR agreements since January 1, 2022; 3) Budget line-items showing ALPR / Flock expenditures for FY2022–FY2026. I prefer electronic delivery. Please acknowledge receipt and provide the estimated timeline and any fees in advance.
Template B — Policy, audits, and sharing
Pursuant to the Tennessee Public Records Act, I request: 1) Any written policy governing Flock / ALPR searches (who may search, required justification, supervisor approval, retention, and prohibited uses); 2) Any audit logs, monthly totals, or internal reviews of plate searches for the past 24 months (or confirmation that none exist); 3) Any agreements, settings, or lists identifying outside agencies that can access, query, or receive Crossville ALPR data; 4) Any Hotlist / Safe List / Whitelist / “trusted vehicle” configuration and the written policy authorizing it (or confirmation that none exists). This request seeks program administration records — not routine plate-scan images of the public.
Template C — Camera locations / map
Pursuant to the Tennessee Public Records Act, I request any maps, lists, GPS coordinates, installation permits, pole agreements, or inventories identifying the locations of Crossville Police Department Flock Safety / ALPR cameras currently installed or planned, including any expansion beyond the 10 Falcon units listed on Flock Quote Q-00234.
